The contract for participation in a seminar as part of the "Photonics Manager Compact", or one or more selected modules from the program, comes into effect through online registration by clicking on "Register now" and confirmation of registration from the organizer, Fraunhofer IOF. Confirmation of registration will be sent by email to the specified participant address.
The receipt of the registration is confirmed by an automated e-mail immediately after sending the registration and does not constitute acceptance of the contract.
Registrations are considered in the order in which they are received.
Accepting the conditions of participation is part of the registration process.
Participation Fee
Please transfer the participation fee within 14 days after receipt of the invoice. The participation fee is exempt from VAT according to § 4 No. 22a UStG.
Scope of Services (unless otherwise stated)
The participation fee includes participation in the event, seminar documents, a certificate of participation and – if advertised – meals (lunch and snacks)
Travel and accommodation costs are not included in the price. If you would like to book accommodation, we would be happy to recommend a hotel nearby.
Attendees
The maximum number of participants for the entire "Photonics Manager Compact" program is 15. The maximum number of participants of the technical part “Future of Photonics” is 26.
The places will be allocated in the order of registration.
Right of Withdrawal
You can revoke your contractual declaration in written form (e.g., letter, fax, email) within two weeks without giving a reason. The period begins at the time of receiving these instructions. To meet the cancellation deadline, it is sufficient to mail the cancellation in a timely manner. The revocation must be sent to: Fraunhofer IOF, Albert-Einstein-Strasse 7, 07745 Jena, Germany. The right of withdrawal does not exist for registrations made by companies or self-employed persons as part of their professional activity.
Special instructions
Your right of withdrawal expires prematurely if Fraunhofer IOF has started to perform the service with your express consent before the end of the withdrawal period or you have arranged this yourself (e.g., by attending a seminar).
Withdrawal/Cancellation by the Participant
A free withdrawal or cancellation of the registration is possible up to 8 weeks before the start of the event. If the withdrawal/cancellation is made within 2 weeks before the start of the event, 50 % of the participation fee will be due as a flat fee. In the event of withdrawal/cancellation up to two weeks before the start of the event or if the participant does not show up (in part), the flat rate is 100 % of the fee. The withdrawal/cancellation must be made in writing. The relevant point in time for the observance of the deadline is the receipt of the declaration of withdrawal/notice of termination at Fraunhofer IOF.
After the start of the event, withdrawal/ordinary termination is not possible. The minimum contract period lasts until the end of the event.
The non-use of individual teaching units does not entitle to a reduction of the invoice amount.
The position of a substitute participant in compliance with the respective selection criteria is possible after review and confirmation by Fraunhofer IOF.
The seminar participant reserves the right to provide evidence of less damage.
The right to terminate for good cause remains unaffected. The participant can withdraw from the contract for an important reason. If there is a proper cancellation/termination for an important reason, the participant will be released from payment for future services not yet rendered. Important reasons include death; unexpected serious illness; a serious accident of the participant, their relatives living in the household, his official representative, or a person whom the participant has to represent; as well as the loss or change of the participant's place of work, which makes course participation unreasonable.
Withdrawal/termination must be sent to Fraunhofer IOF in writing no later than 3 days after the occurrence of the important reason. The decisive factor is the time of arrival at Fraunhofer IOF. The right to withdraw/terminate for an important reason does not apply if the important reason was predictable when registering for the course and/or the participant caused it intentionally or through gross negligence.
The participant is obliged to provide evidence of important medical reasons by means of a medical certificate and other important reasons by means of a written certificate, to provide additional information and evidence, if necessary, to release the doctors from the obligation to maintain confidentiality in relation to the reason for withdrawal/termination. Evidence must be submitted no later than one week after receipt of the written cancellation/termination or after the start of the event.
Cancellation and Change of Events by the Organizer
Fraunhofer IOF reserves the right to cancel or postpone an event for reasons for which it is not responsible, e.g., illness of the speaker, insufficient participation, etc. Participants will be notified of a cancellation or postponement to the address given when registering. Participation fees already paid will be reimbursed. Further claims for damages or reimbursement of expenses incurred are excluded. Fraunhofer IOF also reserves the right to use other speakers of equal value and to change the timing of the events. In such cases, it is not possible to withdraw from the contract or to reduce the fee.
Cancellation by the organizer
Fraunhofer IOF can terminate the contract for an important reason, e.g., if the participant permanently disrupts the event or if timely payment is not made after a reminder. There is no entitlement to reimbursement of fees paid.

Working documents are protected by copyright. Commercial use, modification, copying, or transfer to third parties is only permitted with the prior written consent of copyright holder.
Image Recordings
Photos will be taken at the event. We inform the participants that their person may also be included and that the image material can be used for internal and, if necessary, editorial reporting.
Information Regarding Corona/COVID 19
This event takes place on the specified days in person in Jena (Germany). If a face-to-face event cannot be secured by the Fraunhofer IOF due to Covid19/Corona, the event will be canceled without replacement at least 7 days before the start of the event and any participation fees paid will be reimbursed. Further claims are excluded.
Severability Clause
In the event of the ineffectiveness of individual clauses of these conditions of participation, the effectiveness of the remaining provisions shall not be affected.
